Booking & Cancellation Policies

We respect that your time is very valuable to you. We appreciate that you understand our time is very valuable too, as is other clients' time. We are committed to providing the best possible service to all our clients. To ensure that we can accommodate everyone’s needs, we have established the following booking and cancellation policy for our services. Please read carefully to understand our terms.
Booking Policy
Soft Tissue Therapy & Lymphatic Drainage:
How to Book: Appointments for soft tissue therapy and lymphatic drainage can be made via our social media platforms, by text, Whatsapp or in person at the treatment room.
Advance Booking: We recommend booking your appointment at least four to six weeks in advance to secure your preferred time slot. We appreciate this is not always possible in times of injury or pain.
Confirmation: All bookings will be confirmed via our social media platforms, text or Whatsapp. Please ensure you provide accurate contact information.
Personal and Group Training
How to Book: Sessions for personal and group training can be booked via our social media platforms, by text or Whatsapp.
Advance Booking: To ensure availability, we suggest booking your training sessions at least one week in advance.
Confirmation: You will receive a confirmation of your booking via our social media platforms, by text or Whatsapp. Please keep this for your records.
Cancellation Policy
We understand that sometimes plans change and you may need to cancel or reschedule your session/appointment. To accommodate this, we have implemented a 24-hour cancellation policy.
Notice Period: Cancellations or rescheduling must be made at least 24 hours in advance of your scheduled session/appointment to not incur any penalty.
Late Cancellations for Personal & Group Training: If you cancel with less than 24 hour’s notice of your session, we do not have enough time to notify another client and replace the session. Therefore, you will be charged 100% of the session fee. For block bookings, a session will be deducted from your remaining sessions, if 24 hour’s notice is not given.
Late Cancellations for Soft Tissue Therapy and/or Lymphatic Drainage: If you cancel with less than 24 hour’s notice of your appointment, we do not have enough time to notify another client and replace the appointment. Therefore, you will be charged 50% of the appointment fee.
No-Show Policy: Failure to attend a scheduled session/appointment without notice will result in a charge of the full fee, before your next session/appointment is booked.
Emergencies/Illness: If you have a fever, a known infection, or have experienced vomiting or diarrhoea within 24 hours prior to your session/appointment, please reschedule.
Inclement weather may also necessitate late cancellations. Do not risk your own safety trying to make your appointment.
Late cancellation due to emergency, illness, or inclement weather will generally not result in missed session/appointment charges, but this will be determined on a case-by-case basis.
How to Cancel
By Text / Whatsapp / Social Media Platforms: Send us a message with your name, appointment date and time.
Deposits, Payments, Refunds and Credits
Deposits: Each soft tissue therapy and/or lymphatic drainage appointment requires a non-refundable 50% deposit to be paid to secure your booking.
Payments: All payments for block bookings are to be made upfront.
Refunds: Refunds will only be issued for cancellations made in accordance with the above cancellation policy.
Credits: If you cancel within the appropriate notice period, you may choose to receive a credit towards a future service instead of a refund.
Punctuality
We kindly request that all clients arrive on time for their scheduled sessions/appointments. Punctuality is essential to ensure you receive the full benefit of our services and to avoid disruptions to other clients' schedules.
Late Arrivals: If you arrive more than 15 minutes late for your session/appointment, we may need to reschedule or shorten the duration of your service. The full fee will be charged.
We understand things happen and life gets in the ways, so we are more than happy to change dates and times wherever needed as long as sufficient notice is given.
We appreciate your understanding and cooperation with our booking and cancellation policies. These policies help us manage our schedule effectively and provide the best service to all our clients.

LIDS Health & Fitness is committed to protecting and respecting your privacy. This notice, along with our Terms and Conditions of Services, sets out the basis on which any personal and sensitive data we collect from you, or is provided by you, will be processed, stored, retained, and destroyed. This is all in accordance with current General Data Protection Regulations (GDPR) which came into force in May 2018. Any future changes made to this policy will be posted on this page, and where appropriate, notified to you via email.
Collection and Usage of Data

Data Collection: We collect data in the form of contact details, medical history, and other relevant information pertaining to your current physical, mental, and emotional situation and the reason for your visit.

Accuracy: This information is given freely by you and is deemed true and correct at the time. Updates must be provided by you as soon as known.

Methods: We use both manual paper and electronic processes for data collection.

Purpose: This information helps us form a complete picture of your condition and situation to provide an informed approach to your service and continuing plan. It is not shared with third parties.

Referrals: Should a referral letter or report to your GP or other professional be required, it will be given directly to you to pass on.

Subscriber List: Names, telephone numbers, and email addresses are used to send newsletters, updates, or relevant information.

Communication: Names and telephone numbers are used for direct communication and appointment reminders.

Photographs: With consent, photos may be taken for before-and-after comparisons, posture corrections, or promotional purposes.
Cookies

Lawful Basis for Processing

Consent: Data is collected with explicit consent for services such as Personal Training or Soft Tissue Therapy.

Minors: For clients under 18, consent must be given by a parent or guardian.

Health Conditions: For clients unable to consent due to health conditions, a Power of Attorney must provide consent and be present during treatment.

Legitimate Interest: Receipt of newsletters and updates is based on legitimate interest in our services.
Storage

Paper Files: Stored securely in a locked cabinet, accessible only by Craig and Kerry Liddell.

Electronic Data: Stored on a secure database, protected in accordance with Privacy and Electronic Communications Regulations (PECR).

Referral Letters and Reports: Produced and stored securely on our PCs, with copies attached to your paper file.

Photographs: Stored securely on our PCs, with originals deleted from the camera.
Retention, Access, and Destruction

Retention Period: Data is retained for 7 years after the last treatment for adults, or until age 21 for minors who received treatment before turning 18.

Access: You have the right to request access to all data held on you by emailing lids.health.fitness@outlook.com. Requests are processed within 1 calendar month.

Unsubscribe: You can unsubscribe from newsletters and updates by clicking the "UNSUBSCRIBE" button in the email.

Destruction: At the end of the retention period, paper files will be shredded, and electronic data securely deleted.
